Dental Clinic Patient Acquisition

Filling the calendar without discounting the treatment

A multi-chair dental practice was buying cheap leads that never booked. We rebuilt the funnel around treatment intent and follow-up discipline, cutting cost per booking by more than half while raising average treatment value.

Results at a glance

Cost per booking down 54%

Lead-to-booking rate 14% → 31%

Average treatment value up 22%

First response under 10 minutes

Implant enquiries up 3.1x

The challenge

The practice was judged on cost per lead, so the previous agency optimised for it — broad targeting, a free-consultation hook, a two-field form. Volume looked excellent. Reception spent its days calling people who wanted a free check-up and nothing else, while the high-value implant and veneer enquiries the business actually needed were nowhere in the mix.

Our approach
  • Changed the reported metric from cost per lead to cost per booked appointment, then rebuilt campaigns against it.
  • Split campaigns by treatment intent so hygiene, orthodontics and implants stopped competing in one budget.
  • Replaced the free-consultation hook with priced, specific offers per treatment.
  • Introduced a three-attempt follow-up sequence with WhatsApp as the first touch, not the phone.
  • Added a qualifying question to the form, accepting fewer leads in exchange for better ones.
The outcome

Lead volume fell by roughly a third and bookings nearly doubled. Because the mix shifted toward higher-value treatments, revenue per marketing riyal improved further still. Reception stopped dreading the lead list.
